The college was running admissions, grades, attendance and fees across paper registers, spreadsheets and individual staff members' memory. Producing a single student's transcript meant assembling it by hand from several sources.

We built one connected platform covering the whole student journey — enrolment, assessment, attendance, fees, timetabling and official documents — so the record is created once and used everywhere.

The challenge

  • Registers, spreadsheets and manual processes for everything.
  • Transcripts and result slips assembled by hand, slowly and inconsistently.
  • No reliable view of who had paid what, or which balances were outstanding.
  • Attendance recorded on paper, so problems were noticed far too late.

Platform features

Student enrolment
Online application and enrolment. Students register, upload documents, and are assigned student IDs and course schedules automatically.
Grade management
Lecturers enter continuous assessment and exam scores; the system calculates final grades and GPA and generates transcripts.
Attendance tracking
Daily attendance per class, with automated alerts when a student falls below the required threshold.
Fee management
Tuition, hostel and exam fees tracked per student, with payment receipts, flagged balances and financial summaries.
Timetable and scheduling
Semester timetables for all departments, with room allocation, lecturer assignment and clash detection.
Reports and transcripts
Official transcripts, result slips and end-of-year reports generated as downloadable PDFs, cutting the administrative burden on staff.

What changed

  • Results in hours, not weeks. Grade calculation and transcript generation are automatic.
  • A 95% fee collection rate. Outstanding balances are visible and chased rather than discovered at the end of a term.
  • One record per student. Admissions, academic and finance staff all work from the same data.

How it is built

Django, PostgreSQL and Python, with server-side PDF generation for official documents and role-based access separating lecturer, registry and finance views.
